Privacy Policy

How we handle the information you share with us during admission and afterwards.

Last updated: 1 September 2026 • Applies to sjb.edu and the online admission portal.

1. Information We Collect

We collect information that you provide to us directly. This includes what you enter into the online admission form — your name, parents' names, date of birth, gender, contact number, email address, postal address, Aadhaar number, academic qualifications and the documents you upload — along with anything you send through the enquiry form or by email.

We do not buy applicant data from third parties, and we do not ask for payment card details anywhere on this website.

2. How We Use It

  • To assess your eligibility for the programme you applied to.
  • To contact you about your application, admission offer and enrolment.
  • To submit the enrolment records required by the affiliating university and by regulatory authorities.
  • To maintain fee, receipt and academic records for as long as the law requires.
  • To send you notices about the session you have applied to or are enrolled in.

We do not sell your information, and we do not use it for advertising by third parties.

3. Who We Share It With

Your enrolment and examination records are shared with the university that awards your degree — Utkal University, Biju Patnaik University of Technology (BPUT) or Berhampur University, depending on your programme. Records may also be shared with state and central authorities where a statutory scheme (such as a scholarship) requires it, and with auditors bound by confidentiality.

Information is disclosed to anyone else only with your consent, or where we are legally required to do so.

4. How Long We Keep It

Applications that do not result in enrolment are retained for the duration of the admission cycle and one subsequent year. Student academic and financial records are retained permanently, as is standard for an educational institution and as required by the affiliating university.

5. Security

Access to applicant and student records in the administrative portal is restricted to authorised staff. Uploaded documents are stored against the specific application they were submitted for. Please do not send sensitive documents over unencrypted channels such as social media messages.

6. Your Choices

You may ask us to correct inaccurate information in your application or student record, ask for a copy of the information we hold about you, or withdraw an application that has not yet resulted in enrolment. Write to ayushsai2019@gmail.com or call the admission office. We may ask you to verify your identity before acting on a request.

7. Cookies

This website uses only the storage necessary for the site to function — for example, remembering your progress through the admission form on your own device. We do not run third-party advertising trackers.

8. Mandatory Disclosures

The following are published in the public interest and are available in full at the institute office during working hours:

  • Certificate of affiliation from each affiliating university.
  • Programme-wise sanctioned intake for the current academic session.
  • Programme-wise fee structure approved for the current academic session, as published on each course page.
  • Faculty list with qualifications and appointment details.
  • Details of the grievance redressal committee and the anti-ragging committee.
  • Details of the internal complaints committee constituted under the Sexual Harassment of Women at Workplace (Prevention, Prohibition and Redressal) Act, 2013.

Where any statement on this website conflicts with the official records held at the institute office or with a direction of the affiliating university, the official record prevails.

9. Changes to This Policy

We may update this policy. The revision date at the top of this page always reflects the current version. Material changes affecting applicants in an open admission cycle will be notified on the homepage notice bar.

10. Contact
